A teacher is looking for a house for 24 pupils plus two accompanying adults, somewhere between Easter and the summer holidays. Your website shows the catalogue: attractive program offers, prices, descriptions. What it does not show is whether anything is free in her window at all. So she sends a request - and you reply that this particular offer is fully booked in exactly that period. Next offer, same game.
The new program availability search turns that order around: the group states its frame data first, and the website then only shows offers that can actually host it.
Frame data in, matching offers out
The search form asks for two things: the group size - participants and accompanying adults, each by gender - and the possible travel period, meaning the window the trip may fall into. That is all. One click on search, and below it the program offers appear that have room for the group somewhere inside that window, each with its base price, travel duration, age range, the earliest possible arrival and the accommodations that fit. If several arrival dates are possible, that is shown as well.
What matters just as much is what does not appear: offers whose accommodations are booked out for the entire period never show up in the first place. The group never asks for something you would have to decline anyway - and you save yourself the reply.
Availability yes, bed counts no
The search works on the same data as your occupancy view in the backoffice: existing bookings, reservations, room assignments, blocked periods and disabled weekdays all feed into it. None of that is communicated to the outside though - the group only sees that an offer is possible for them, never how many beds are still free. If you need the exact numbers for a sales conversation, the calendar view in the backoffice is still the place to look.
The travel duration is respected too: an offer running five days only appears when all four nights are free in a row and the complete stay fits into the given window.
Heavily booked? Straight to you, then
If your settings allow fully booked periods to stay bookable upon request, such an offer does not disappear - it is marked as heavily booked instead. In place of the booking button, your phone number and e-mail address appear right inside the card, with the name of the offer already in the subject line. The group ends up in a conversation instead of in a form that would not go through anyway.
From the result straight into a prefilled booking form
When the group clicks a free offer, the familiar booking form opens - but with the group size already filled in, and the availability calendar starting in the period the group searched for. Nobody has to enter the same information twice.
Integrated the way you know it
You find the ready-made iframe code in the backoffice under Programs → Integration as the new entry Programs availability search - copy it, put it on your website, done. As with the other integrations you can narrow the selection down with labels, for example to class trips only or to a single region.
The availability search is available to everyone working with program offers.
